A: Our scanning agents come prepared with their own equipment.
Q: What products will I need to buy to maintain this solution?
A: This varies depending on each client’s needs. Many can operate with their existing infrastructure, while we may make some recommendations for hardware upgrades to others.
Q: Do I need to digitize all my files?
A: Definitely not. We will help you to prioritize all of your files to those that make the most sense to you and your business. Usually beginning with the current years content, active documents, and then working backwards in time to address your individual business’ needs.
Q: Do you provide the entire service or can you implement the system and then train my staff?
A: Our goal is to make you self sufficient as soon as possible, although we do offer full service and ongoing document management if the client requests it.
Q: Do you work “on-site” or do you need to remove the documents from my place of business?
A: We will work wherever you want or need us to. We can come on-site if you have the space, or move offsite to a secure location so that you can keep us behind closed doors and focus on running your business.
Q: Does your system integrate with Google Apps, Salesforce, etc.?
A: Yes. There are hundreds of existing integrations at no extra charge.
Q: Does your system provide a way for me to automatically sync to my desktop computer?
A: Yes there is an encrypted desktop sync tool so your content can also reside on your desktop.
Q: I am hesitant to put all my files in the “cloud.” How do I know my documents are secure?
A: Our recommended back end solution has security and usability as it’s top priorities. The end result is a HIPAA compliant, FINRA compliant, SSAE 16 type II compliant, and ISO 27001 compliant solution encrypted at 256-bit SSL in transit and at rest. Q: Are my documents backed up automatically?
A: All documents are backed up as they are scanned and can be “rolled back” to an earlier version at anytime. There are multiple points of redundancy that are built into the solution.
Q: If I wanted to cancel my subscription to your service can I get a full copy of all my files?
A: If you choose not to renew your subscription to our hosting partners, you will be provided ample time to download or migrate your content to another location.
Q: How much does your service cost?
A: In addition to an annual subscription for hosting services through our partner, we have five primary services: Workflow, IT, Scanning/Renaming, Accounting, and Training. Each is billed at an hourly rate, which we can provide an estimate in advance once we determine the size of your project. The scope of a project can be varied to fit a specific budget.
